Personal Assistant

Salary: £12000 - £12000 p/a

Location: Newcastle

Gillespie Recruitment are delighted to be working with one of the UK’s leading Independent Financial Advisors.

We are looking to recruit an experienced Personal Assistant to support one of the Financial Advisors.

The purpose of the role is to undertake a wide range of administrative and support duties.. A minimum of 3 years’ experience within the Financial Services Industry, preferably within an Independent Financial Adviser environment is desired, however, our client will consider a shorter time frame if progress has been made with financial planning qualifications. A working knowledge of Intelligent Office software is preferred.

Specific tasks and attributes include: N.B. This list is not exhaustive and is to be used as a guide to the main duties and responsibilities of the post-holder and is subject to change in accordance with the needs of the business.

  • Providing general assistance to the Consultant with daily business tasks.
  • Making and receiving telephone calls to clients, building trusted relationships and rapport.
  • Liaising with product providers as necessary.
  • Arranging client meetings and maintaining the Consultants diary including making travel arrangements for the Consultant when required.
  • Processing and pro-actively monitoring client requests in a timely manner.
  • Prioritising workloads and diary maintenance to ensure that all client activities are completed quickly, in a compliant manner and to a high standard
  • Liaising with the Technical Department to ensure that workflow is submitted correctly along with the appropriate Fact Find and Recommendation templates along with any other supporting documentation.
  • Liaising with the Administration Departments to ensure that workflow is submitted correctly along with the appropriate application or servicing paperwork and any other supporting documentation.
  • Supporting the client review process, using the available systems to monitor and track the stages of the process.
  • Inputting/checking client data on Intelligent Office.
  • Good organisational and time management skills, ensuring due care and attention always.
  • Enthusiastic with a can-do attitude.
  • Strong IT skills in core Microsoft Office systems.
  • Assist with good customer outcomes with particular reference to the 5 FCA conduct rules.
  • Any other duties as may reasonably be required.
