Gillespie Recruitment are currently recruiting for a proactive and highly organised Office Manager for a full-time position based in Sunderland.
This is an excellent opportunity for an experienced Office Manager who enjoys a varied, hands-on role at the heart of a growing business, working closely with senior leadership and external partners.
The Role
As Office Manager, you will take ownership of the day-to-day running of the office and core business operations.
You’ll be the go-to person for office coordination, administration and compliance, ensuring payments and payroll are processed accurately, records are maintained correctly, and systems and documentation are kept up to date. You will work closely with the CEO and external accountants to keep the business operating efficiently.
This role would suit someone who enjoys responsibility, organisation, and being central to how a business runs.
Key Responsibilities
- Owning weekly payment runs end-to-end and supporting accounts administration using Xero
- Supporting payroll administration and liaising with external accountants when required
- Maintaining accurate HR administration using BrightHR, including onboarding documentation, contracts and letters, personnel files, and holiday and sickness records
- Providing high-quality office management and administration support, including inbox management, filing, office supplies and internal coordination
- Administering the Fuel Card process and maintaining audit-ready records
- Acting as the business lead for GDPR administration, coordinating records, processes and day-to-day compliance activity
- Maintaining and administering company templates and documentation, including contracts and terms & conditions, ensuring the latest approved versions are always in use
About You
- Proven experience in an Office Manager, Operations or senior administrative role
- Strong working knowledge of Xero
- Confident handling payments, reconciliations and financial administration
- Experience maintaining HR or people records using an HR system
- Highly organised with excellent attention to detail
- Comfortable working closely with senior leadership
- Trustworthy and discreet when handling confidential information
- Proactive, reliable and able to manage multiple priorities
